Bookings:

A pencil booking is a temporary reservation before it is officially confirmed. To be considered the priority client for the day, the client must respond to the booking form in writing.

Pencil bookings are only accepted during office hours on weekdays (8 am - 6 pm). A booking is confirmed when the client pays the full invoice before the scheduled shoot. The client should send the Proof of Payment to booking@georgeqstudios.com.

Double Bookings:

If a client wishes to pencil a date already reserved by another client, the first client must make a 50% deposit within 24 hours. The first client will only receive notification to pay after the second client returns a pencil booking form.

If the first client fails to settle the deposit in time, the booking will become available to the second client. In case of an inquiry within 48 hours of the shoot date, the first client must make an immediate payment to secure their booking. For inquiries more than 7 days in advance, the first client is required to make payment within 3 days.

Overtime:

In case a client initially pays for a half-day and wishes to extend it to a full day during the photo shoot, additional charges will be applicable. For shoots that exceed the originally confirmed duration, an extra fee of R900 per hour for overtime will be incurred.

Additional Time:

Extra time will be billed on an hourly basis, in proportion to the daily rate. If clients want to include extra hours, they need to confirm this when making the booking.

After-Hours:

A rate of R1000 per hour will be imposed for shoots commencing before 8am. For shoots beginning at 5pm or later, the rate will be doubled.

Reservations:

Full-day shoots must commence at or before 9am. Clients are not permitted to modify their confirmed arrival time on the day of the shoot; any delay will reduce their studio time. Furthermore, clients should not exceed their studio usage past 6pm, unless prior arrangements have been made.

Cancellations:

If a client has made a payment and cancels the booking within 24 hours of the confirmed arrival date and time, a fee of R700 for cleaning and administration will be charged. Cancellations must be communicated in writing through text or email. Clients who cancel in a timely manner can choose to receive a refund, minus an administration fee of R50, or opt to retain their payment as credit for a future booking.

Postponements:

Postponements will be accepted only until 12pm on the day before the scheduled shoot. If a client has made a payment and decides to postpone, a new date must be scheduled within 14 days; otherwise, a refund will not be issued. The postponement date cannot be deferred further.

In-Studio Equipment:

Clients are allowed to utilize the following equipment, unless they specifically request other items:

Cyclorama Wall Repainting:

The white cyclorama wall is included with the studio hire. If you require the cyclorama to be painted a different colour, an additional fee of R3500 for paint and labour will be incurred for a single colour. Multiple colours can be discussed.

Shooting Cars:

The studio can accommodate a small to medium-sized vehicle on the cyclorama floor. However, please note that car tires leave tracks on the white floor, necessitating the need for floor maintenance, including washing and repainting.

A surcharge of R2500 will apply for cars on the cyclorama white floor to cover the additional cleaning and repainting costs.

Recording Audio:

The studio is located in an industrial area and is not soundproof. Clients recording sound for video should anticipate typical suburban noises, such as construction, distant vehicles, and voices. Additionally, the studio has a tin roof and is not suitable for sound recording on rainy days. Critical audio recording is best done after 5pm and on weekends when the area is quieter.

Item Collection/Delivery:

Clients may either leave items at the studio or arrange for their delivery, but only after coordinating with the studio manager. The studio will not be held responsible for any damage to client equipment or items while they are in our possession. Items left uncollected for more than 7 days will be donated to hospice.

Studio Capacity:

The studio can accommodate up to 30 people.

Load Shedding:

Generator will be obtained for full day rentals only. If the generator malfunctions on the day of the shoot, the client will be offered an alternative day within 7 days for a reshoot. Clients agree to use their appliances at their own risk and cannot hold the studio responsible for any malfunctions.
